Everything you need to know before vending at a VBRNTT event.

Please review this guide in full before event day. These guidelines help us create a polished, welcoming, and successful experience for our vendors and attendees.

Welcome to VBRNTT Events!

Thank you for joining us! We’re so excited to have you as part of our vendor lineup.

We’re vendors ourselves, so we understand the time, energy, and investment that go into preparing for an event.

VBRNTT has:

  • Hosted hundreds of community events
  • Welcomed more than 20,000 attendees
  • Built a combined social media community of more than 35,000 followers
  • Grown an email community of more than 8,000 subscribers

Vendor booth fees help cover event marketing, digital advertising, venue expenses, staffing, signage, and the many behind-the-scenes details required to create a well-organized and well-attended event.

While we cannot guarantee attendance or sales, our team works hard to market each event and create the best possible experience for everyone involved.

Table Presentation

REQUIRED:

  • Use a clean, wrinkle-free cloth tablecloth
  • Tablecloths must reach the floor on all visible sides
  • Keep boxes, totes, extra inventory, and personal belongings completely out of sight
  • Display your business name or branding clearly
  • Keep your table organized and easy to shop
  • Use sturdy, professional displays that are safe for attendees

NOT PERMITTED:

  • Plastic or disposable table coverings
  • Short tablecloths that expose boxes or supplies underneath
  • Visible storage totes, cardboard boxes, bags, food, or personal items
  • Wrinkled, stained, torn, or poorly fitted linens
  • Cluttered or unfinished-looking displays
  • Unsecured signage or displays that may fall or create a hazard

If you store anything underneath your table, it must be completely concealed by a floor-length tablecloth.

Booth Boundaries

Your entire setup must remain within your assigned booth space.

This includes:

  • Tables
  • Chairs
  • Clothing racks
  • Shelving and displays
  • Signage
  • Inventory
  • Checkout areas
  • Personal belongings

Displays may not extend into walkways, neighboring booths, entrances, or other shared areas.

Please confirm your booth dimensions before selecting or purchasing your setup. If any part of your display extends beyond your allotted space, you will be asked to adjust or remove it.

Vendors may not move, trade, or expand their assigned booth space without approval from VBRNTT staff.

Keeping Your Booth Clean

Please keep your booth clean and organized throughout the entire event.

  • Store extra inventory, totes, packaging, and personal items underneath your table or completely out of sight
  • Keep food and drinks discreetly stored
  • Break down and remove empty boxes as needed
  • Keep all walkways clear
  • Regularly tidy and restock your display
  • Dispose of trash properly

At the end of the event, please leave your booth space exactly as you found it. Vendors are responsible for removing all merchandise, displays, boxes, decorations, and trash.

Load In + Load Out

Vendors must be completely set up and ready to welcome customers at least 15 minutes before the event begins.

For example: If doors open at 10:00 AM, your booth must be completely ready by 9:45 AM.

Please plan enough time to:

  • Check in
  • Unload your vehicle
  • Park
  • Transport your inventory
  • Complete your booth setup
  • Test your checkout system
  • Put away boxes and personal items

Arriving at the venue by the required check-in time does not mean beginning setup at that time. Please arrive early enough to be completely finished by the deadline.

Early Takedown

Early takedown is not permitted unless there is an emergency and you have received approval from VBRNTT event staff.

Packing merchandise, removing signage, consolidating displays, or moving items to your vehicle before the event ends is considered an early takedown.

Leaving early disrupts the event, creates safety concerns, and negatively affects neighboring vendors and attendees.

Vendors who begin tearing down early may be charged a $25 early departure fee and may be excluded from future events.

Power, Wi-Fi & Tech

Electrical access is not available unless it is specifically included in your event application or confirmed in writing by VBRNTT.
Please plan to operate without access to an electrical outlet.

  • Arrive with phones, tablets, card readers, and portable chargers fully charged
  • Bring backup batteries or approved portable power banks if needed
  • Generators are not permitted inside event venues
  • Wi-Fi is not provided unless otherwise stated
  • Prepare your POS system to operate using cellular data or a personal hotspot
  • Consider having a backup payment option available

Some venues may offer paid Wi-Fi or limited power access. If available, those details will be included in your welcome email.

VBRNTT cannot guarantee cellular service, internet access, electrical access, or the performance of third-party payment systems.

Vendor FAQ

Applying

What kinds of vendors are you looking for?

We welcome authors, small businesses, and interactive experiences that complement our bookish community! For authors, we generally focus on romance ranging from sweet to spicy, along with fantasy. We also look for bookish merchandise, reader accessories, and products with a clear connection to books and reading.

We love interactive booths, including permanent jewelry, piercings, tattoos, and DIY stations. These offerings should incorporate a bookish element or be thoughtfully tailored to our audience.

Food and drink vendors are accepted at select events, depending on the venue. Please review each application for event-specific categories and requirements.

How do I apply, and how much does a booth cost?

Each event has its own vendor application with booth pricing, application deadlines, space sizes, and event details. These vary by location, venue, and event format, so please review the application for each event you’re interested in.

If you’d love to join us, we encourage you to submit your application while applications are open!

How are vendors selected?

We thoughtfully curate each lineup based on product quality, booth presentation, fit with the event’s audience, and the variety of businesses attending. Available space and the number of applicants within each product category also play a role.

Submitting an application does not guarantee acceptance. Acceptance at one event does not automatically guarantee a spot at another.

Will other vendors be selling similar products?

Possibly! We work to create a varied lineup and limit direct duplication where possible, but we do not guarantee category exclusivity.

Larger events may include multiple authors or businesses within broader categories such as apparel, accessories, or bookish merchandise.

When will I hear back about my application?

We generally aim to begin reviewing applications a few weeks after they open, although the timeline depends on how far away the event is. Some lineups are selected sooner, while others take more time to finalize.

You can expect a response whether you’re accepted, waitlisted, or not selected. Please double-check your email address when applying and watch your inbox, including your spam and promotions folders.

Fees, Changes & Refunds

When is my vendor fee due, and when is my booth confirmed?

Your payment deadline and any required paperwork will be included in your acceptance email. Please complete each step by the listed deadline to secure your space.

Submitting an application alone does not reserve a booth. If payment is not received by the deadline, your space may be offered to another applicant.

Are vendor fees refundable or transferable?

Vendor fees are non-refundable and non-transferable. Please review the event details and your availability before committing.

If you can no longer attend, notify our team as soon as possible. Vendors may not independently sell, give away, or transfer their booth to another business.

What happens if an event is changed, postponed, or canceled?

Our team will contact affected vendors by email with updated information and the options available under that event’s vendor agreement and policies.

Please review the event terms before submitting payment, as arrangements may vary by event.

The Events

How many attendees can I expect?

Our book fairs generally see around 1,000–3,000+ attendees, although attendance varies by location, venue, event length, and format. Smaller specialty events and wholesale events have different audiences and attendance expectations.

Accepted vendors receive attendance updates as we collect RSVPs or ticket registrations. Even when an event is free, we collect RSVPs to help vendors estimate how many people to prepare for.

Registrations help with planning, but final attendance may differ.

Are all of your events free to attend?

We host a mix of free and ticketed events, along with specialty experiences and wholesale buying events.

Admission requirements, age restrictions, and event formats vary. Please review the details for the specific event you’re applying to.

How do you market your events?

Our dedicated marketing team promotes events across our social media channels and through our large email marketing list. Our approach is tailored to each event, location, and audience.

We also encourage vendors and authors to promote their participation! We provide event flyers and customizable templates to make sharing easy. Posting about the event helps your customers find you and introduces more people to the experience.

Are your events indoors or outdoors?

We host both indoor and outdoor events! The application will identify the setting so you can plan accordingly.

For outdoor events, please review the tent, tent-weight, and weather preparation requirements. Do not assume the same equipment or setup rules apply at every venue.

Your Booth

Where can I find the complete vendor and booth requirements?

Our Vendor & Booth Requirements are included in each event’s application and outline the full setup, presentation, and participation expectations.

All vendors must review and follow these requirements, along with their event application terms, vendor agreement, and any venue-specific instructions. If you’re unsure whether your setup meets the requirements, please email us before the event.

What size is my booth, and what is included?

Booth sizes and included equipment vary by event and will be listed on the application. Please review the dimensions carefully to make sure your setup will fit.

Unless otherwise stated, vendors are responsible for bringing their complete setup, including tables, chairs, tablecloths, displays, signage, inventory, and checkout equipment.

Your entire display must stay within your assigned space and may not block walkways or neighboring booths.

What are your booth presentation requirements?

We require clean, professional, thoughtfully arranged setups with full-length tablecloths covering all visible sides of your tables. Extra inventory, boxes, totes, and personal belongings should remain out of sight.

Products should be displayed clearly, and your space should feel welcoming and easy to shop. Some events also have theme or décor requirements, which will be shared in the application or vendor instructions.

Please review the complete Vendor & Booth Requirements in each event’s application before participating.

Can I sell products that weren’t included in my application?

Only products included in your application and approved for the event may be offered on market day.

We are intentional about product selection and vendor variety. If you would like to add products or services that were not included in your application, please email us ahead of time for permission. Additions must receive written approval before you bring them to the event.

Can I share a booth with another business?

Generally, booth sharing is not permitted. However, we may consider exceptions for publishing houses or businesses with complementary offerings.

All booth-sharing arrangements require written approval before the event. Please email us before making plans to share a space and include details about both businesses and the products each would offer.

Will electricity or Wi-Fi be available?

Electricity and Wi-Fi are not provided unless specifically listed in the application or confirmed in writing by our team.

Please arrive with charged devices, card readers, and backup batteries. Be prepared to use cellular data or a personal hotspot for checkout.

Can I request a specific booth location?

You’re welcome to share placement requests or accessibility needs in your application or by email before the event.

We consider requests when planning the layout, but specific locations cannot be guaranteed. Please do not move or trade assigned spaces without approval from our team.

How much inventory should I bring, and what sales can I expect?

Inventory needs depend on your products, pricing, the length of the event, and its audience. Use the event details and attendance updates to help plan your stock.

We work hard to bring people through the doors, but we cannot guarantee attendance, sales, or revenue. Results vary for each business based on factors such as product fit, pricing, presentation, and customer engagement.

On the Day

When will I receive setup and event-day instructions?

A detailed vendor welcome email will be sent during the week of the event. It will include information such as check-in and setup times, parking, unloading, event hours, booth assignments, and venue-specific reminders.

Please read the full email, even if you have participated before, as logistics vary between events.

Can I unload directly at my booth?

Vehicle access depends on the venue, so please do not assume you can drive directly to your space.

Your vendor welcome email will explain unloading and parking procedures. We recommend bringing a wagon, dolly, or rolling cart to transport your setup and inventory.

Do I need to stay for the entire event?

Yes. Vendors are expected to be ready before the event opens and remain set up through the advertised closing time.

Early packing disrupts the experience for attendees and neighboring vendors. If an emergency comes up, please speak with event staff before beginning takedown.

For multi-day events, review the application for participation and overnight storage details.

Staying in Touch

How can I hear about future vendor opportunities?

Join our vendor email list for application announcements, upcoming opportunities, and important updates.

We also share opportunities on social media, but our vendor email list is the best place to stay in the loop.

Who should I contact if I have questions?

Please email hello@vbrntt.com with your business name, the event name and city, and your question.

If you have already applied, include the email address used on your application so we can locate it more easily. For questions about your setup, photos or dimensions are always helpful!
